Special Processing Associate

Location:           Richmond, VA
Department:      Operations/Securities Services
Reports to:        Securities Services Supervisor
The primary responsibilities of this advanced, non-exempt position encompass end-to-end processing of both Non-Standard Investments and Restricted Securities.  The position requires that the candidate have strong interpersonal and communication skills, which are essential to successful, frequent and ongoing interaction with internal clients and outside entities.  The incumbent of this position is considered essential personnel and is expected to fulfill all daily Operational processing requirements. 
Responsibilities of this position include, but are not limited to:
  • New purchases, and/or custody of Non-Standard Investments (NSI)
  • Interim processing on existing NSIs, such as capital calls, valuation adjustments, and reorganization activities
  • Assist with questions regarding incoming and outgoing ACATS of NSIs
  • Quarterly security count verifications of NSIs and obtaining pricing of certain hard-to-value investments
  • Annual fee processing for NSIs
  • Private sales of NSIs
  • Reorganization processing for restricted securities
  • Removal of legends for restricted securities
Experience and Skills Requirements:
  • Minimum of 3-5 years of industry and operational experience specifically in reorganization, stock receipt, restricted stock or IRA processing, or a combination thereof
  • Candidate should possess, and be able to demonstrate with ease and confidence, an aptitude for math/numbers
This position is considered essential and requires:
  • Regular full-time attendance to meet the daily demands of the position when the stock exchanges are open, including but not limited to, the day after Thanksgiving, Christmas Eve and other days when the market closes early. (The candidate may be required to work the entire business day in order to fulfill the daily Operational processing requirements.)
  • Candidate must be cognizant of all peak processing dates for the Securities Services area (1st, 15th, 25th, first business day of each week, last business day of the month, quarter-end and last week of the year)
  • Advanced planning and approval of time-off to ensure there is adequate coverage for the Securities Services area
Other requirements include, but are not limited to:
  • Cross-training in other areas of Securities Services
  • Continuous communication and willingness to work with Operational team members, internal clients and external entities such as, but not limited to: transfer agents, companies and legal counsel
  • Ability to read and convey significant information from lengthy documents (such as subscription documents from a Security Issuer) clearly to others
  • Maintaining a strong commitment to the specific job responsibilities, department and firm
  • Vigilance to proactively maintain follow-up communications for open transactions
  • Ability to learn and keep abreast of changes within industry and firm-defined rules and regulations regarding all aspects of the Securities Services area
  • Extremely customer-oriented to include: effective thinking and acting in support of the customer; providing timely response and resolution of customer issues; clear understanding of all downstream impacts that may affect customer accounts, including the departmental and firm impacts of inaccurate processing
  • Must perform work consistently
  • Consistent and strong attention to detail that leads to error-free, logical, and presentable results.Constructive feedback is oftentimes immediate and direct
  • Accurately taking notes and referencing them, to ensure that policies, procedures, and processing steps are being followed in accordance with what is outlined for this job
  • Working in a collaborative environment with Supervisors and Managers, and occasionally other Department Heads, to ensure that:
  • Regular updates are provided on the status of transactions on the desk.Some transactions may be subject to additional oversight
  • Transactions are processed in compliance with policies and procedures. Complete transparency regarding all processing steps is required
  • Any significant information and/or issues are quickly identified and communicated to a Supervisor and/or Manager
  • Willingness to participate in any and all changes to assigned duties, requirements or roles
